Onboarding Guide
Here’s everything you need to do before your first day live. Six steps. One checklist. You’ll set up your org, add your fleet, configure rates, invite your team, and go operational. If you want the short version, use the Quick Start guide. This doc covers every field and every decision.
Onboarding Flow
Section titled “Onboarding Flow”Complete them in order the first time through. After that, you can jump back to any step.
Step One: Profile
Section titled “Step One: Profile”| Field | What it does |
|---|---|
| Name | Shows up on dispatch actions, endorsement signatures, and messages |
| Photo | Puts a face next to your name across the platform |
| Organization Name | Printed on invoices, rental agreements, and member comms |
| Organization Type | Unlocks the right feature set for how you operate |
| Timezone | Controls all scheduling times — set it to your field’s local time |
Organization Types:
| Type | What you get |
|---|---|
| Flight School | Training management, endorsements, stage checks, Part 141 tracking |
| Flying Club | Scheduling, billing, and member management — no training overhead |
Step Two: Plan Selection
Section titled “Step Two: Plan Selection”| Plan | Built for |
|---|---|
| Solo | One CFI, one aircraft. You’re the whole operation. |
| Club | A 5-plane club with 40 members sharing N172SP and the rest of the line. |
| Academy | A Part 61 or 141 school that needs stage checks, curricula, and TSA tracking. |
| Enterprise | 20+ aircraft, multiple locations, custom integrations. Call us. |
You can upgrade anytime. Downgrading may require trimming data that exceeds the lower tier’s limits.
Step Three: Fleet
Section titled “Step Three: Fleet”Add every aircraft on your line. One at a time.
| Field | Notes |
|---|---|
| Registration | N172SP, N182RG — this is the aircraft’s unique ID across the entire system |
| Make/Model | ”Cessna 172S Skyhawk SP” — helps pilots find the right aircraft on the schedule |
| Status | Operational, grounded, or in maintenance. Grounded aircraft disappear from booking. |
| Hobbs/Tach | Enter current readings. WingWrangler tracks them from here for billing and mx intervals. |
| Hourly Rate | $185/hr wet for N172SP, $245/hr wet for N182RG — set per tail or use a fleet default |
| Equipment Tags | IFR Certified, G1000, Complex, TAA — pilots filter by these when booking |
Step Four: Rates
Section titled “Step Four: Rates”| Rate Type | How it works |
|---|---|
| Aircraft hourly | Already set per tail in the fleet step. $185/hr, $245/hr — whatever you charge. |
| Instructor hourly | Default CFI rate of $65/hr. Override per instructor if your CFII charges $75/hr. |
| Ground instruction | $45/hr for ground lessons, oral prep, flight reviews — anything not on the Hobbs. |
| Block time packages | Sell 10 hours at $1,750 instead of $1,850. Prepaid hours show in the pilot’s account. |
| Tax | Sales tax rate if your state requires it. Leave blank if not applicable. |
| Late fees | Charge a percentage or flat fee on overdue balances. Set the grace period in days. |
Step Five: Team
Section titled “Step Five: Team”Invite your staff before you go live. They’ll get an email, set a password, and they’re in.
| Role | Who to invite |
|---|---|
| Administrator | Your chief pilot or ops manager — 1-2 people with full access |
| Instructor | Every CFI on the roster. They’ll set their own availability once they’re in. |
| Dispatcher | Front desk staff who handle bookings and phone-in reservations |
| Billing Admin | Whoever reconciles accounts and processes refunds |
| Mechanic | Your A&P or IA for squawk tracking and mx sign-offs |
Step Six: Launch
Section titled “Step Six: Launch”You’ll see a summary screen. Check everything before you hit the button.
| Check | What to verify |
|---|---|
| Organization name | Spelled exactly how it appears on your Part 61/141 certificate |
| Aircraft list | Every tail on your line is accounted for. N172SP, N182RG — all of them. |
| Billing rates | $185/hr wet, $65/hr CFI, block time discounts — all accurate |
| Team invitations | Right people, right email addresses, right roles |
