Scheduling
You need to know who’s flying what, when. The schedule page shows you.
Booking Workflow
Section titled “Booking Workflow”Calendar Views
Section titled “Calendar Views”Three views. Pick the one that fits what you’re doing right now.
| View | Best For |
|---|---|
| Day | See every slot, hour by hour. Good for dispatching. |
| Week | Plan the week ahead. Spot gaps and overloads fast. |
| Month | Track utilization trends across your fleet. |
Creating Bookings
Section titled “Creating Bookings”Pick a time, pick a plane. If you need an instructor, pick one of those too.
Say a student wants a Tuesday afternoon lesson in N172SP with your CFI, Mark. You’d tap the 2:00 PM slot on Tuesday, select N172SP from the aircraft list, assign Mark as instructor, set duration to 1.5 hours, and drop “Slow flight and power-off stalls” in the notes. Hit confirm. Done. Both the aircraft and Mark are now blocked for that window.
| Field | Required | Notes |
|---|---|---|
| Aircraft | Yes | Only airworthy, operational aircraft show up. Grounded tails won’t appear. |
| Instructor | No | List filters to CFIs available during your selected window. |
| Duration | Yes | Must meet your org’s minimum block time. |
| Notes | No | Lesson plans, practice area, destination airport—whatever’s relevant. |
Instructor Availability
Section titled “Instructor Availability”Instructors own their own calendars. They set availability through My Schedule → Availability. If a CFI doesn’t mark themselves available, students can’t book them.
| Pattern | Use Case |
|---|---|
| Recurring weekly | Your CFI flies Monday through Friday, 8 AM to 5 PM. Set it once. |
| Single day blocks | Checkride day, dentist appointment, vacation. Block the whole day. |
| Time range blocks | Unavailable for a few hours—lunch, sim session, ground school. |
Booking Policies
Section titled “Booking Policies”You set the rules. Go to Settings → Scheduling and dial in what works for your operation.
| Policy | Example | Effect |
|---|---|---|
| Minimum duration | 1 hour | Nobody books a 20-minute slot and ties up a Skyhawk. |
| Maximum duration | 4 hours | Keeps one renter from locking out the fleet all day. |
| Advance booking | 14 days | How far ahead members can reserve. Prevents calendar squatting. |
| Cancellation window | 24 hours | Cancel inside 24 hours? That’s a late cancel. Your policy, your call. |
Recurring Bookings
Section titled “Recurring Bookings”Students training on a regular cadence shouldn’t have to rebook every week. Create the first booking, then hit Make Recurring.
| Option | Values |
|---|---|
| Pattern | Daily, Weekly, Biweekly, Monthly |
| End | After X occurrences or a specific date |
A student flying every Wednesday at 3 PM in N172SP with the same CFI? One setup, and it rolls forward automatically.
Conflict Resolution
Section titled “Conflict Resolution”WingWrangler won’t let you double-book. It catches:
- Aircraft conflicts — that tail number’s already reserved.
- Instructor conflicts — your CFI’s already in the air with someone else.
- Maintenance conflicts — the aircraft’s down for an oil change or annual.
When a conflict hits, you’ll see alternatives: a different aircraft, a different time, or a different instructor. Pick one and move on.
Maintenance Blocks
Section titled “Maintenance Blocks”Mechanics and admins create maintenance blocks that lock out normal bookings. If N12345 is getting a 100-hour inspection from noon to 4 PM, nobody’s booking it during that window.
Weather Integration
Section titled “Weather Integration”WingWrangler pulls current weather and flags bookings that fall below your configured minimums. Set your thresholds in Settings → Weather.
| Minimum | Example |
|---|---|
| Visibility | 3 SM |
| Ceiling | 1,000 ft AGL |
| Wind | 20 kts |
| Crosswind | 12 kts |
